International quotation system – a more transparent event planning market
MaReSz proposes the introduction of an international quotation system for the event market. This, and the Association’s newly published hourly rate research, aim to ensure sustainable, competitive and transparent operations, both for clients and agencies.
The Hungarian Association of Event Organizers and Service Providers (MaReSz) has put together an updated quotation system proposal based on international standards, which significantly increases the transparency and market predictability of event organization services. The new quotation structure clearly separates the direct subcontractor costs of events, agency fees and indirect expenses of the event, thus making the cost structure of projects clearer. This system not only ensures cleaner and more traceable operations for event organizers, but also makes it clearer for clients how and where the event budget is spent.
The introduction of a transparent quotation system is beneficial for all parties involved. Clients receive more consistent, comparable offers, which helps them make better decisions. This can avoid misunderstandings and unrealistic expectations, and can strengthen clients’ trust in professional service providers. This is also an important step in terms of accountability, as the work performed during the project can be quantified more precisely, so agencies can adequately justify the value of their services.
Clear pricing is also crucial for sustainable market operation: it ensures that agencies can develop more realistic business models and adequately reward their professionals, which contributes to the long-term stability of the event market. A well-functioning, transparent market ultimately also raises the standard of quality services, as agencies can thus position themselves and their services more accurately.
MaReSz also conducted a comprehensive study on the hourly rates of event agencies. The aim of the survey was to provide an accurate picture of the rates at which industry players sell their services for different positions – such as event director, event planner or creative director. Based on the results, MaReSz published the market median hourly rates for each professional role, which serve as a credible benchmark for both agencies and clients.
